What we collect, and what never leaves your browser.
This describes the information AS Applied handles, why it is handled, and where it goes. It reflects how the site is built today rather than a generic policy.
This page describes how the site actually behaves today and is a starting point only. Have an Australian lawyer settle the final wording, the liability position and the entity details before this site is promoted or accepts paid work.
The entity behind this site.
AS Applied is operated by XPO Engineers. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
If you believe information has been handled incorrectly, contact us using the details at the end of this page. If you are not satisfied with the response, you can complain to the Office of the Australian Information Commissioner.
Details you send us deliberately.
When you submit the enquiry form we collect your name, email address, and optionally your phone number and company, along with the topic you select, the description you write, the page you submitted from, and the time of submission.
This is used to respond to your enquiry and to scope engineering work if you ask for it. It is delivered to us either through a webhook into our own systems or by email through our email provider. We do not sell it and we do not use it for unrelated marketing.
The form asks you not to include confidential drawings or commercially sensitive information in a first message, because that first message travels through a general-purpose email or webhook path.
Uploaded drawings and datasheets.
If you use the document pre-check, the file you upload is sent to a third-party AI provider so it can be screened against our checklist. The request is made with model-provider storage disabled, so the file is not retained by the provider for training or for later retrieval.
AS Applied does not store the uploaded file. It is held in memory for the duration of the request and discarded once the report is returned to your browser. The resulting report is not saved on our servers either, so close the tab only after you have saved anything you need.
Do not upload material you are not permitted to share with a third-party processor. If your document contains personal information, commercially sensitive detail or client-confidential drawings, get the owner's agreement first.
Checklist and calculator data never reaches our servers.
- Checklist answers, asset details, measurements, evidence notes, owners and due dates are stored only in your own browser using local storage.
- Calculator inputs stay in the page. The PDF record is generated inside your browser and is never uploaded.
- A calculator permalink encodes your inputs into the URL itself. That URL is only shared if you choose to share it, but treat it as you would any other link containing job data.
- Clearing your browser storage deletes this data permanently. We hold no copy and cannot recover it for you.
Logs, abuse prevention and analytics.
Our hosting provider records standard request logs. We process your IP address transiently to apply rate limits on the enquiry and pre-check endpoints, which is necessary to prevent abuse of paid services.
Analytics are only active if a provider is configured for this deployment. Where analytics run, we record which pathways, checklists and calculators are used so that we can improve them. We do not use analytics to build a profile of you as an individual.
How long we keep things, and your rights.
- Enquiry correspondence is kept while the enquiry is open and afterwards for as long as we need it for business records and professional obligations.
- Uploaded pre-check documents are not retained.
- You can ask for a copy of the personal information we hold about you, and ask us to correct it.
- You can ask us to delete enquiry correspondence, subject to any record-keeping obligations that apply to professional engineering work.
Who else sees this information.
We use third-party providers for hosting, email delivery, AI document screening, rate-limit storage and, where configured, analytics. Some of these providers process data outside Australia.
We do not disclose your information to anyone else except where we are required to by law, or where you have asked us to involve a specific party in your engineering matter.
